About CoachingPortal

Built to solve a practical problem: high-quality coaches spending too much time on admin.

CoachingPortal was built to solve a practical problem we kept seeing in coaching businesses: high-quality coaches were spending too much of their week on admin work. Program edits, check-in processing, meal planning, client communication, and progress reporting were often spread across multiple tools. That stack created friction for coaches and confusion for clients.

We designed CoachingPortal as one operational system for modern online coaching. The focus is straightforward: reduce repetitive workload for coaches while improving client delivery quality. Instead of chasing vanity features, we prioritize workflows that make day-to-day execution faster and more reliable. That includes program delivery, nutrition support, accountability systems, communication, and reporting.

We run the product with a long-term mindset and a high bar for reliability. Coaches trust this platform with business-critical operations, so stability, data integrity, and transparent product decisions are core priorities.

Who runs CoachingPortal

CoachingPortal is operated by ClearInsite LLC and was founded in June 2025 by Matt Gilbert. The product is built and maintained from the United States, with the company registered in Indiana.

Matt leads product and engineering directly. The product perspective is grounded in lived experience on the client side of online coaching: 15+ years of consistent gym training, and four years working with an online coach as a paying client. CoachingPortal reflects the workflows that actually mattered in that coaching relationship - programs that adapted to recovery and missed sessions instead of staying static, weekly check-ins that surfaced what the coach actually needed to see, and nutrition guidance that fit around a real schedule rather than living in a separate app.

Coaching-methodology decisions are pressure-tested with practicing coaches before features ship - Matt does not position himself as a certified coach and the platform is not a substitute for one. The goal is the opposite: build software that lets real coaches deliver their best work without the operational drag. Verifiable profile: Matt Gilbert on LinkedIn.

Why We Built It

CoachingPortal started from a simple observation: clients experience coaching as one service, but many coaches are forced to deliver it through disconnected software. The result is fragmented experiences and unnecessary operational drag. We built CoachingPortal to unify that experience so coaches can operate from one place and clients receive a clearer, more professional process.

Our product direction is informed by real coaching operations. We look at where coaches lose time, where clients drop off, and where manual decisions can be supported with better logic. That is why progression tools, meal planning systems, and weekly accountability workflows are central to the platform instead of being afterthoughts.

How We Work

We keep the product roadmap grounded in four principles:

  • Operational clarity:every feature should reduce friction in real coaching workflows.
  • Transparent value:core capabilities should be included in pricing, not hidden behind layered add-ons.
  • Coach-first practicality:we optimize for repeatable delivery quality, not vanity complexity.
  • Iterative improvement:customer feedback directly informs what ships next.

A Note on Transparency

We are intentionally publishing this page as a baseline trust document and will keep expanding it with deeper team, timeline, and customer context. If you are evaluating us for your business, we recommend comparing platform fit based on your weekly operations, delivery model, and growth goals.

If you have implementation questions, migration concerns, or product feedback, reach us at support@coachingportal.io. We review customer feedback directly and use it to shape roadmap priorities.
