The free plan supports up to 3 active clients with no feature restrictions. When you need more, paid plans support 10 clients (Grow, $19.99/month) or unlimited clients (Professional, $49.99/month). There are no per-client fees on any plan - you pay a flat monthly rate for your tier, so your cost does not climb as your roster grows.
Does CoachingPortal handle client payments and invoicing?
No - and CoachingPortal does not take a transaction fee on client payments either. Most online coaches charge clients through Stripe, PayPal, or their existing accounting setup, and use CoachingPortal for the coaching delivery itself: training programs, meal plans, check-ins, messaging, and analytics. This is a deliberate scope choice. Some competitors monetize the payments path - TrueCoach applies a 5% transaction fee, FitPros.io applies 10%, and Trainerize charges a separate monthly fee for payment processing. CoachingPortal stays out of that flow so 100% of what your clients pay reaches your business.
Does the free plan include all core features?
Yes. Free includes the same core coaching toolkit as paid plans: white-label branding and subdomain, meal plan builder, exercise program builder, check-ins, messaging, analytics, and the client web/app experience. Free is limited to 3 active clients and a smaller monthly CoachGPT credit allowance. What is the Studio plan, and how is it different from Professional?
Professional is built for online and hybrid coaches who want unlimited clients, full training and nutrition tools, and a higher CoachGPT allowance. Studio is for gyms and multi-trainer businesses: unlimited trainers and members, PT Mode for logging in-person sessions, and a workout-first branded member experience. What is auto-periodization (also spelled auto-periodisation) and how does it work?
Auto-periodization (US spelling) or auto-periodisation (UK spelling) means the platform automatically adjusts training load, intensity, and volume over time based on the client's performance data - rather than requiring the coach to manually update every program every week. CoachingPortal uses RIR (Reps In Reserve) based autoregulation: clients log how close to failure each set felt, and the system uses that data to adjust weights for the next session. It also monitors for fatigue patterns and can insert deload weeks automatically when performance drops across multiple sessions.
Does CoachingPortal work for powerlifting, bodybuilding, and general fitness coaching?
Yes. The exercise program builder supports any rep and set scheme, including percentage-based loading, RPE, RIR, and fixed weight protocols. It never auto-applies changes: you generate a draft, review and edit it, then save and assign. Most generations use 1 AI credit; an exercise program draft uses 3. Free includes a small monthly allowance; paid plans include higher monthly credits, and you can earn bonus credits by referring coaches.
Can I log in-person training sessions for clients?
Yes on the Studio plan. PT Mode lets you log sets during a live session on your device; the client reviews and submits afterward so the session lands in their workout history. Studio is built for gyms and multi-trainer floor work. Grow and Professional focus on online/hybrid coaching without PT Mode.
Yes. CoachingPortal is optimized for phones and tablets, and clients can use the iOS app, Android app on Google Play, or mobile web experience to access workouts, meal plans, check-ins, and messaging.
Do clients have to install an app, or can they use the web?
Clients can use the full mobile web experience in a browser. The native iOS and Android apps are optional and recommended for push notifications and automatic step sync from Apple Health or Health Connect. Workouts, meal logging, check-ins, and messaging work on web as well.
On iOS, step counts sync automatically from Apple Health. On Android, steps sync from Health Connect. Clients do not need to manually enter step data - the app reads from their phone's health platform once they grant permission during onboarding. Step data appears in the client's daily log and surfaces in the coach analytics dashboard alongside weight and nutrition data. This feature requires the native iOS or Android app and is not available in the mobile web version.
What happens if I deactivate a client?
Deactivating a client frees an active seat on your plan and blocks them from using the client portal. Their login still exists, but the app signs them out and shows that the account is deactivated. Programs, meal plans, check-ins, and history are retained for you as the coach. You can reactivate them later if you have an open seat on your plan.
Can I switch from Trainerize without rebuilding everything?
Largely, yes. What happens to my clients' data if I cancel my subscription?
If you cancel a paid plan, your account downgrades to the free tier, which supports up to 3 active clients. Clients above that limit are not immediately deleted - you can choose which clients to keep active on the free tier. All client data, programs, meal plans, and check-in history is retained and remains accessible. CoachingPortal does not delete client data upon plan changes, and you can re-activate a paid plan at any time to restore full access.
Can I export my data?
CoachingPortal does not currently offer one-click bulk export. Coaches and clients keep full in-app read access while the account is active, and you can cancel without losing access for the remainder of a paid period. For regulatory portability requests or migration help, email support@coachingportal.io for a manual extract. Account self-deletion is available in settings for both coaches and clients.
CoachingPortal is built for general fitness and nutrition coaching, not for medical providers. We do not currently sign Business Associate Agreements (BAAs), and the platform should not be used to store Protected Health Information as defined by HIPAA. If you need a BAA, choose a platform that offers one explicitly.
No. We do not train shared AI models on your coaching content, client check-ins, messages, or progress data. Optional CoachGPT features send only what is needed for that generation when you click Generate, and drafts are never auto-applied to a client without your review.
Yes on paid plans that allow additional coach seats. Free is limited to a single coach seat. Invited coaches work inside your branded workspace with the permissions your plan and setup allow; clients still see your brand, not a separate portal per coach.
